Attendance tracking for tutors: take attendance from your phone
How to record attendance in seconds, keep a history for every student, log what each class covered and let parents know about absences the same day, without paper sign-in sheets or spreadsheets.
Why attendance matters, even for a small tutoring business
Taking attendance feels like a formality, yet most of the useful things you do start there. You spot the students who are drifting away before their family quits, you can tell a parent about an absence the same afternoon, you can answer with facts when someone says “he’s never missed a session”, and you know who is owed a makeup class. On paper, the record disappears into a binder. In a spreadsheet, it stops being updated by week two.
What a good attendance app needs
- Speed. If it takes more than a minute you will stop doing it. One tap per student.
- Phone first. You are standing in a classroom or a hallway, not sitting at a desk.
- More than present or absent. Late and excused deserve their own statuses.
- Class notes. The topic you covered and the homework you set, saved with the session.
- History by student and by class, available in seconds.
- A link to parents, so an absence becomes a timely email instead of a dead entry in a table.
- Permissions. Each tutor sees only their own classes.
How attendance works in ClaseAlDía
- Open “Today”. You see the day’s sessions in order, with class, room and tutor. Canceled sessions are marked.
- Tap the class. The list of active students enrolled in it appears.
- Mark each student present, absent, late or excused, with an optional note such as “mom called ahead”.
- Add the topic and homework for the session, if you like. If you choose to share class notes, families see them on their page.
- Save. If you turn it on, parents of absent students get an absence email, once per student per day.
Each student’s page shows the record with a summary of present, absent, late and excused marks for the last 90 days. If someone has missed three sessions in a row, you see it in seconds and can talk to the family with facts rather than hunches.
An example
Take an SAT prep group of six juniors that meets Tuesdays and Thursdays at 4:30 p.m. The tutor used to keep a paper sign-in sheet and type it up when she remembered. Now, at 4:35, she opens the app, taps the group, marks five present and one absent and notes “Reading: evidence-based questions; HW: practice section 4”. The absent student’s parents get an email that evening. At the end of the month the director looks at the history, sees three students piling up absences before the test date and calls those families while there is still time to catch up.
Habits that make attendance stick
- Do it in the first five minutes, while everyone is in the room.
- Agree on definitions. How many minutes counts as late? What counts as excused? Decide once for the whole center.
- Keep notes short. “Sick” or “school field trip” is enough.
- Send absence emails where they help. They suit centers with children and teens; for adult learners they are usually unnecessary.
- Check the summary once a week. Two minutes reveals trends early.
Attendance and privacy
A child’s attendance record is personal information. Tell families what you keep and why, and don’t keep it longer than you need. ClaseAlDía lets you mark a student as inactive or permanently delete their data; the privacy policy explains how information is handled and where it is stored (in the EU).
How this fits with tuition
Attendance and tuition are separate on purpose: a missed session doesn’t change what a family owes unless you decide it should. To keep tabs on who has paid, our guide to tracking tuition payments walks through a monthly routine.
Common questions
Can I take attendance offline?
The app needs an internet connection to save, so it helps to have cell signal or Wi-Fi in the room.
Can a tutor see absences for classes that aren’t theirs?
No. Each tutor only sees their own classes and students.
Can I export attendance?
Yes, as a CSV file for the date range you choose, ready for Excel or Google Sheets.
What if a session is canceled?
Mark it as canceled in the calendar, with an optional notice to families, and the app no longer asks for attendance that day.
