How to track student tuition payments in a tutoring business

A simple monthly routine and a reminder template so you always know who has paid, plus how to automate the tedious parts without losing control.

Tracking tuition shouldn’t take your weekend

The 5th of the month arrives and the ritual begins. You open the spreadsheet, open your banking app, compare the two, remember that someone paid in cash, find a parent who paid two months at once, and end up typing reminders one by one. With 30 students it is tedious; with 100 it is a second job.

The monthly routine in six steps

  1. Set one rule. A due date (say the 1st to the 5th of each month), the methods you accept (for example Zelle, Venmo or check) and payment in advance rather than after the month. The fewer the exceptions, the less work.
  2. Create the month’s fees on the 1st. One line per student with the amount due, sibling discounts already applied.
  3. Record each payment the day it arrives, with the date and method. “I’ll log it later” is where almost every mix-up starts.
  4. Review what’s outstanding on the due date. A short list, grouped by family rather than by student, so nobody gets reminded twice.
  5. Remind once, politely. A short message with the description, the amount and how to pay. If it is still open a week later, send a second reminder. After that, pick up the phone.
  6. Close the month. Export the tuition list and file it, or send it to your bookkeeper.

Reminder template: “Hi! Just a friendly reminder that October tuition for [student], $180, is still open. You can pay by Zelle or check. If you’ve already paid, please ignore this message. Thank you!”

Common mistakes

  • Treating a payment app as your ledger. Zelle and Venmo histories mix personal and business payments, and the memo rarely says which student or month a payment covers. Record each payment in one place the day it arrives.
  • Mixing up payment tracking and invoicing. Knowing who has paid and issuing an invoice are two different jobs. Track the first daily and leave the second to your bookkeeping software.
  • Not separating monthly tuition from extras. Registration fees, books and test prep packages should be recorded separately, so the monthly total always adds up.
  • Chasing student by student. If a family has three kids enrolled, send one message listing three fees, not three messages.
  • Leaving no paper trail. If a parent asks for proof of payment, you should be able to produce it on the spot.

How ClaseAlDía automates it

  • Monthly fees created for you. When the month starts, every active student with a fee gets a line, without typing anything.
  • Status at a glance. One screen with how many fees are paid, how many are due and how much is still owed.
  • Mark as paid in one tap, with the date and method. Made a mistake? Set it back to unpaid.
  • Reminders grouped by family. Pick the day of the month and each family gets a single email listing what is due.
  • Payment receipts. Each fee marked as paid produces a numbered, printable receipt that the family can also open from their page.
  • CSV export for your bookkeeper or your own records.

Tutors who work at your center see none of this: tuition is for the owner only.

A receipt is not an invoice

ClaseAlDía does not issue invoices. The receipt confirms that a payment was received; if your business needs to invoice, keep doing that in your own software or through your accountant. What the app saves you is the groundwork: knowing which fees are paid and which are still open.

What about Zelle, Venmo and checks?

The method doesn’t matter. ClaseAlDía records payments; it doesn’t process them. When a Zelle transfer lands, a Venmo payment comes in or you deposit a check, you mark that month’s fee as paid with the date and method (Zelle and Venmo are built-in methods). What counts is that the record is made right away, in one place.

Common questions

Can a family pay inside the app?

No. ClaseAlDía tracks payments but doesn’t process them: families pay you as usual and you mark the fee as paid.

Can I add charges other than monthly tuition?

Yes. Add extra charges to a student, such as registration, books or a test prep package, with a description and amount.

What does the family see?

On their private page they see the last twelve months of fees, which are paid and which are due, and they can open the receipt for any paid fee.

Which currency does it use?

Your center works in US dollars. ClaseAlDía records how each family paid (check, cash, card, bank transfer, Zelle or Venmo), but it does not take payments from families: you keep collecting tuition the way you do now.
