Software for tutoring centers: one schedule, real attendance, clear tuition

A learning center with a few rooms and a handful of tutors doesn’t need an enterprise school system. It needs a schedule everyone trusts, attendance that actually gets taken, a calm way to reach parents and a clear view of who has paid this month.

A small center has different problems than a school

Most tutoring center software is built for one of two customers: the solo tutor or the franchise with a head office. A center with three rooms, five tutors and somewhere between fifty and a hundred and fifty students sits awkwardly in between. You have too many moving parts for a notebook, but no office manager whose whole job is to configure and feed a big system.

The everyday questions are simple, and they come up constantly. Which room is free at 4 p.m. on Thursday? Did the 6th-grade math group meet when its tutor was out sick? Has the Rivera family paid for October? Who needs to know that Monday’s sessions are off for Labor Day? Good software for a tutoring center answers them in seconds, from a phone, for whoever is at the front desk.

What to look for

  • One shared schedule. Classes with their room, tutor and weekly time slots, plus one-off changes: a canceled session, an extra review class before exams, a room swap.
  • Attendance each tutor takes on their own phone. If attendance lives on the office computer, it gets filled in from memory on Friday, or not at all.
  • Class notes. The topic and homework for each session, so a substitute tutor knows where the group is and parents can see it too.
  • Permissions that match how a center works. Tutors see their own classes; the owner sees tuition, settings and the whole picture.
  • Parent communication that doesn’t depend on anyone’s personal number. Notices to everyone, one class or one family, sent from the center.
  • Monthly tuition with a clear status, grouped by family so siblings are reminded once.
  • An easy way out. Everything exportable to CSV at any time.

How a five-tutor center runs on ClaseAlDía

Picture a center offering math and reading support for grades 3 to 8, after-school homework help and SAT prep for juniors, with three rooms, five tutors (two of them part-time) and around 120 students. Here is how the week runs.

  1. The owner sets up the term. Each class gets a name, room, tutor, weekly time slot and default monthly fee. Students are added with their fee and a parent’s email; siblings share one family.
  2. Tutors join by invitation. Each tutor gets an email invite, sets a password and from then on sees only their own classes on the “Today” screen.
  3. Attendance happens in the room. Present, absent, late or excused, with the topic and homework for the session. Check “email families of absent students” and those parents hear about it right away.
  4. Changes reach parents immediately. Cancel a session in the calendar and notify that class’s families from the same screen. A center-wide notice about a holiday closure goes to everyone at once.
  5. Tuition closes itself out. On the 1st, each active student gets the month’s fee. Payments are marked as they arrive (check, cash, card, Zelle or Venmo). On the day you choose, families with something due get one polite reminder listing everything they owe.

Every family also has a private page behind a personal link with their child’s schedule, recent attendance, class notes, tuition and notices. Parents don’t install anything or create an account, and nobody needs a tutor’s cell number.

What ClaseAlDía deliberately leaves out

Being upfront about scope saves you a migration later. ClaseAlDía does not issue invoices, process card payments from parents, run a public booking page or host online lessons. It is a web app, not a native app: it runs in the browser on any phone, tablet or computer, with nothing to install. If you need enrollment forms, invoicing and card processing in one system, a bigger platform will suit you better. If you want the daily essentials to be calm and reliable, this is the lighter option.

Student data and privacy

A tutoring center holds personal information about children: names, attendance, parents’ contact details and payments. Your center decides what is collected and why, and ClaseAlDía processes it on your behalf under a data processing agreement. Data is stored in the EU on Cloudflare infrastructure, is never sold or used for advertising, and you can export or permanently delete it whenever you need to. You remain responsible for telling families what you collect and for following the privacy laws that apply to your business, including any state privacy rules.

What it costs

The Center plan covers up to 5 tutors and 150 active students for $29 a month or $290 a year, plus tax, with every feature, including online enrollment. Larger centers use Center+ ($59 a month), with no limits and priority support. Every plan starts with a 30-day free trial, no credit card and no contract; details are on the pricing page.

Common questions

Can each tutor only see their own classes?

Yes. Tutors see the schedule, attendance and students of the classes assigned to them. Tuition, settings and center-wide figures are visible to the owner only.

Can I manage several rooms?

Yes. Rooms are set on each class and shown in the calendar. If you outgrow 5 tutors or 150 students, the Center+ plan has no limit on tutors or students and includes priority support.

Do parents need to download an app?

No. Notices arrive by email and each family has a private page behind a personal link that opens in any browser.

Does it handle invoicing?

No. ClaseAlDía tracks who has paid and produces a simple payment receipt, which is not an invoice. Invoices and taxes stay in your bookkeeping software.
